ROLES & RESPONSIBILITIES
PART 1 — Client Site: Soft Facility Services (3 Mornings/Week)
Deliver Soft FM services at the client’s office in accordance with the Standard Scope of Work (SOW). Responsibilities span the following areas
Office & Space Management
- Manage furniture moves, additions, and changes (MAC) and maintain workspace cleanliness standards
- Administer building access cards
- Produce and update facility signage and manage First Aid Kits, storage areas (general and FM storeroom), and blinds.
- Communicate facility incidents and notable events to Instant and landlord PM/FM teams in a timely manner.
Pantry & Catering Operations
- Manage pantry consumable inventory
- Maintain MSDS documentation and oversee maintenance and cleaning of pantry equipment
- Coordinate catering services and event support
Technical Maintenance & Health/Safety
- Operate and monitor central A/C systems and support fire and emergency response
- Conduct monthly water quality testing and coordinate quarterly Legionella testing
- Manage vendor Permit-to-Work (PTW) and site access procedures and complete daily FM inspection checklists
- Administer soft service vendor contracts (cleaning/Tea Lady, pest control, coffee machine and etc)
- Arrange monthly pest control services including site plan management and inspection report filing
Waste, Recycling & Sustainability
- Manage general and recyclable waste segregation and disposal in compliance with applicable regulations
- Maintain recyclable waste disposal records and prepare periodic reports for client sharing
- Operate document shredder and coordinate shredded paper collection and reporting
- Conduct cleaning quality inspections: daily spot checks, monthly inspections, and biannual audits
Site Reporting, Admin & Plant Management
- Prepare and submit Monthly Operations Reports and maintain all site documentation
- Track snack and consumable consumption and costs
- Maintain the site Emergency Contact List and respond to landlord and building management communications
- Handle international courier dispatches and mailroom deliveries
- Manage miscellaneous consumable procurement (boxes, tape, etc.).
- Maintain indoor plants
PART 2 — JLL HQ: MTS KR Team Administration (Remaining Hours)
When not deployed at the client site, provide administrative and operational support to the MTS KR team
Team Schedule Management: Coordinate and maintain schedules for MTS KR team members — covering site visits, internal meetings, travel, and team availability across the week.
Monthly Meeting Material Preparation: Compile, format, and distribute monthly team meeting materials including agenda creation, PowerPoint presentation preparation, and post-meeting minutes or action item tracking.
Finance Data Tracking: Track and maintain financial data for the MTS KR portfolio — cost tracking, budget variance monitoring, and preparation of financial summary reports for management review.
Invoice Processing: Receive, review, and process vendor invoices in line with JLL accounts payable procedures; track invoice status and escalate discrepancies or missing approvals for timely resolution.
Work Order Management: Log into designated client systems to review and extract Work Order (WO) status; consolidate and share relevant updates with the appropriate team members in a timely and organized manner.
General Team Administration: Provide general administrative support including internal communications drafting, SharePoint and shared drive maintenance, template and documentation updates, onboarding coordination for new team members, and other ad-hoc tasks as directed by the team manager.
CANDIDATE REQUIREMENTS
Qualifications & Experience
- 1–3 years of experience in facilities management, workplace services, hospitality, or administrative operations
- Hands-on experience in soft FM service delivery or office/site operations management is preferred
- Exposure to financial tracking, invoice processing, or procurement administration is an advantage
- Familiarity with FM systems, Work Order platforms, or CMMS tools is a plus
Skills & Competencies
- Strong organizational and time-management skills: able to manage multiple priorities across two distinct work environments
- Customer-centric mindset with a high standard of professional presentation and service delivery
- Clear written and verbal communication skills in both Korean and English
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and comfortable working with various digital systems and platforms
- Detail-oriented with a proactive approach to identifying and resolving operational issues
- Able to work independently with sound judgment and minimal supervision
- Flexible and adaptable — comfortable shifting between client-site service delivery and office-based administration within the same working week
