Client/ Stakeholder ManagementDeliver excellent customer service to meet on-site client’s expectationsBuild and develop effective relationships with key stakeholders &/or client and be comfortable working across all levelsMonitor procedures to ensure client’s expectations are conveyed and worked upon
Procurement & Vendor ManagementManage multiple vendors to deliver services on time and within budget. Including hard and soft services.Manage vendor procurement processes in accordance with agreed client procurement guidelines as well as JLL procurement best practices
Contracts ManagementEnsure that all contracts are professionally delivered at the right cost and in line with the JLL Code of EthicsNegotiate and approve contracts and service agreements relating to facilities functions following the SCMP defined framework and guidelinesMonitor expiry of contracts and initiate re-procurement where neededEnsure contracts are within budget, POs are updated and maintained, invoices received, paid, posted and cleared correctly in accountingContinually assess contracts to ensure best value delivered to the client
Finance ManagementEnsure that the site’s financial operations are meeting targets and control requirementsManage financial processes to ensure accounts payable process and procedures are followed at all timesBudget Financial Management including variance reportingEOM reporting
Health & Safety ManagementManage and coordinate EBay’s Health and Safety related topics by following policies and guidelinesThis role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules.
Site Operations ManagementManage the upkeep of the facilities, including functions such as mailroom services, monitor/order convenience centres and supplies, food ordering, PO creation/ invoicing, event planning and booking, office cleaning, Maintenance & Repair, stationary, building related activitiesSupport and locally implement EBay workplace related company policies, goals, objectives and procedures.Execute office moves, additions and changes in coordination with EBay CRE and/ or Space Planning teamMaintain and keep the IWMS tool updated and ensure correct dataImplement Industry Best Practice operationsAssist and monitor to ensure all building procedures and performance measures are maintained at all timesEnsure all Critical Environment (CEM) requirements are metSeek ways to reduce costs and improve operational standardsAssist/ manage office events when applicable24/7 emergency call support and site attendance as required
Risk ManagementEnsure the JLL Operational Risk Management (ORM) program is implemented and maintained.Support the implementation and monitoring of disaster recovering and business continuity plansFollow established escalation procedures and incident reporting proceduresAdhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
