What this job involves:
Client/Stakeholder Management
- Provide a welcoming approach to all visitors, accommodating the visitors, identifying the host and facilitating collection. This includes logging in and out any client visitors
- Greet, register and badge visitors on Rightcrowd system.
- Answer general phone inquiries professionally, responding to questions calls as needed and relay the message to the appropriate employee
- Maintain a neat and organized front desk and lobby areas and ensure desk is stocked with necessary supplies
- Meet and greet clients promptly and contact staff member to advise of guest’s arrival
- For candidate registration, ask them to fill out the Job Candidate Nondisclosure Agreement, then help them to be escorted by their interviewers
- Distribute the parking ticket to the guest leave and log the list
- Issue the access card and arrange the desk for new hire
- Collect and/or receive mail and courier deliveries, receipting in register and informing relevant staff
- Resolve problems associated with all building services including: Janitorial, mailroom support, parking, badging, conference rooms and supplies
- Fulfil any ad-hoc requests promptly and efficiently to support of facilities issues
- Ensure any faults or defects are noted and reported to ensure an outstanding client experience
- Help, guide and provide support to all client and visitors by providing directional support on-site and nearby and order taxis as necessary
- Respond to inquiries from internal and external customers regarding such information as: locations of buildings, local services and local amenity information
Vendor Management
- Register vendor information and contact with vendor as arrange the schedule.
Health & Safety Management
- This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules.
Site Operations Management
- Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times
- Seek ways to constantly reduce costs and improve operational standards
- Maintain premises in neat and good working condition at all times
- Maintain general supplies ( Office / kitchen / bathroom / first-aid / EPK)
- Organize stocks and track inventory
- Provide and maintain proper trackers for operation and reporting
- Facilitate any audit in the office, if required
- Put up communication/ announcement through email or notice
- Manage cleaning lady of office building
Risk Management
- Support the implementation and monitoring of disaster recovering
- Follow established escalation procedures and incident reporting procedures (CMO)
- Perform mandatory Fire Evacuation Drill rehearsal for employees
- Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
Reports
- To track every tasks which GREF team involves need to raise ticket by TT or RIVER. (Also, clients request to GREF team such equipment rental, temperature adjustment, meeting room configuration change and etc.)
- Attend facilities meeting and provide update promptly

- Fluent in English 필수
- 리셉션/Concierge 경력 1년 이상 우대
- Experience in front and back office processes is required with strong Administration Skills.
- Strong Customer Service focus
- Excellent people skills and ability to interact with a wide range of client staff and demands
- Knowledge of occupational safety requirements
- Strong PC literacy and proven ability to manage daily activities using various systems, including the internet and e-mail functions
- Demonstrated experience with continuous improvement initiatives
- Demonstrated experience with client reporting and preparation of reports
