Assistant Facilities Manager 과장급 (여의도 근무)
Overall Role
This position is facilities management team’s trusted right hand on soft services activities. This role is responsible for soft services like below to ensure all building process and best practices are implemented and maintained, also lend the team a big hand by providing admin support
Security and reception service
Mail centre management
Finance related management
Handling day to day FM related user request
HX program, helpdesk
Occupancy planning
Meeting Service
Key equipment maintenance
JLL FM online platform operation and management
Emergency response
Other office services
Duties & responsibilities
Manage day-to-day facilities management activities based on defined R&R by Lead Facility Manager. Basic duties and responsibilities will be in the areas below
Security and reception services
Manage Security system and ID card related work, seek support from engineer to manage security hard system.
Complete and submit necessary assessment/internal audit on time.
Manage receptionist to handle reception work including ID card handling
Mail centre management
Manage Mail centre operation staffs to handle mail related work
Handle client’s needs related to mail services
Finance
Budget planning and report
Support team to create PO, enter GR by using JLL and client system
Manage finance data
HX (Human Experience) program
Work with region HX Manager to implement HX activities to the site
Manage and prepare monthly pop-up event
Support site manager to advertise annual facilities survey
Support the We Own Champion (FM floor walk through) program
Manage helpdesk staff to handle inquiries mails, and chat
Answer inquiry coming from client, or escalate the issue to the right team member
Track all request in Corrigo, and manage the Corrigo as team leader
Occupancy Planning
SPACE management
Collect seating data from SPOC every month, request team assistant to upload the data to SPACE system.
Create the report and submit it to site FM when asked.
Occupancy Planning
Manage the occupancy rate by using SPACE data, provide restacking or layout change plan.
Lead and manage the housing move.
Meeting Service
Intent is to support all meetings to be held smoothly regarding facility & equipment. (Maintenance & Repair)
Manage VCR equipment maintenance, provide necessary support to users.
Event Management. Support client to hold a companywide Town hall meeting.
Check VCR rooms on daily basis, meeting room equipment on weekly basis.
Project. Requested by Global/Regional Team to install new AV equipment.
Manage vendor (on call support) when support is needed. Hold bid every 2 years to select the vendor.
Equipment maintenance
Work closely with landlord and building management office, ensure all necessary actions for building operation and maintenance is done properly
Ensure the necessary inspection testing and maintenance for tenant’s owned equipment are done timely
Keep the maintenance of equipment owned by tenant
JLL FM online platform operation and management
Operate and manage data input/analysis for JLL FM platforms such as Corrigo, Serve etc
Emergency response management
Work closely with landlord and building management office, support bi-annual emergency drill in TO
Provide necessary support for BCP from FM services
Other office service management
Manage FM stationery and office supplies and place order when required
Support necessary printer’s print paper management
Manage coffee supply and other goods at the pantry
Parking coupon management
Candidate Specification
Experience
At least 3-5 years experiences in facility management or similar field
Working experience in the hospitality industry is preferred (not mandatory)
Experienced the position requiring to meet local/client’s occupational health and safety requirements
Required Skills
Proficiency with Microsoft Office Software
Good command of verbal and written English
Ability to meet tight schedules and deliver high quality of work.
Excellent problem solving and negotiation skills
Team player with client focused enthusiast
Ability to easily interact with the general client staffs and vendors to deliver efficient services.
Be an excellent and resilient communicator who faces clients with a smile at all times, even when times get rough occasionally
Ability to demonstrate a pro-active approach to issues
Ability to recognize escalation issues & action accordingly
Ability to promote open, constructive and collaborative relations with team staffs and clients
