Responsibilities:
Facilitate base building management & operation by, but not limited to, regular/irregular inspection, investigation, analysing root causes/solutions, negotiating with vendors/stakeholders/other departments, coordinating works & projects etc. Prepare and send out user announcement, if necessary.
Supervise BMO performance
Handle management fee & tax related issues
Handle building related insurance(s)
Handle and analyse utility payments (including additional air conditioning and lighting services)
Project related system input and administration works (including preparing one-pager to explain work purpose/details to seek senior’s approval in a timely manner, client system including pmweb)
Handle EHS (Environment, Health and Safety) and FLS (Fire, life and Safety) related issues and program
Providing administrative and document support to Engineering Manager before the onboarding of technician
PPM (Planned Preventive Maintenance) planning, scheduling (including system input), monitoring and reviewing . Manage maintenance contractors to ensure that planned preventive maintenance had been carried out in accordance the maintenance schedule and OE required frequency.
Services contract management and procurement (including getting quotations and tender exercise if necessary. Continuous review and improve contract scope, performance, operation mode etc. Be able to source and compare with market rate/norm by, but not limited to, conducting benchmarking exercise.
Budget/forecast planning and review
Process and master purchase orders (PO) and system input to secure approval
Manage and be responsible for the cleanliness of carpark floor and outdoor area including outdoor signage, vehicle gate, sunken garden, rooftop etc.
Coordinate with building operation teams in setting up and sustaining the best maintenance standards and practices.
Be familiarized with regulatory requirements related to building management, facility management & labour laws. Be aware of local regulations and always be updated with the changes and make sure statutory requirements are met. Contact with local government or external parties will be required.
Conduct regular meeting with service contractor to facilitate, review and improve operation and service
Attend to emergency. Report and follow up any incidents, alarms, irregularities, or abnormalities of E&M equipment within or out of office hours
Carry out routine inspection for energy conservation, maintenance practices, and utility management and risk management procedures, record the inspection as well.
Provide escort/witness to works related or causing impacts to any of the equipment, system or facility inside the building
Attend visit and provide explanation to client(s) with facility management team if required
Be able to attend inspection / test/ work if it happens to be scheduled out of office hours upon request
Support audit & compliance.
