Job Description:
The Project Operations Administrator is responsible for providing operational, administrative, and
coordination support for DEAC project execution and business operations activities.
The role supports project managers, engineers, and business leaders in project administration,
order management, sales forecasting, procurement, invoicing, scheduling, and resource
coordination to ensure efficient project delivery and operational excellence.
Working closely with project teams, finance, procurement, sales, customers, subcontractors, and
internal stakeholders, the position contributes to the successful execution of Digital Energy
projects across Data Centers, Critical Infrastructure, Energy & Chemical, and other industries.
Key Responsibilities:
1. Project Operations & Business Administration
-
Support Orders and Sales SIOP forecasting activities.

Support new order booking, sales recognition, invoicing, and billing processes.
-
Maintain project records, trackers, and operational reports.
-
Support project governance and business reviews.
-
Support project progress claims, customer portal updates, monthly billing submissions, and revenue recognition activities.
2. Procurement & Material Coordination
-
Support procurement activities for project execution.
-
Manage IG material orders, delivery tracking, and coordination with suppliers.
-
Monitor purchase orders, delivery schedules, and material availability.
-
Support procurement documentation and approval workflows.
3. Project Coordination & Resource Support
-
Maintain project schedules and progress updates using MS Project and related tools.

Support timesheet administration and resource utilization tracking.
-
Coordinate project documentation, action items, and status updates.
-
Support project managers in monitoring project milestones and deliverables.
4. Systems & Data Management
-
Maintain SGV master data and project information.
-
Ensure data accuracy across business and project management systems.

Support project dashboards, operational reports, and management reviews.

Assist with data collection and analysis for business performance monitoring.
5. Contractor & Administrative Support
-
Support contractor onboarding and administrative management.
-
Coordinate contractor documentation, access requests, and compliance requirements.

Support vendor and subcontractor administration activities.
-
Maintain project administrative and contract-related records.
6. Continuous Improvement
-
Support standardization of project operations processes and tools.

Contribute to reporting improvements and process efficiency initiatives
(External) English Qualifications:
Qualifications & Skills
Education
- Bachelor's degree or Diploma in Business Administration, Project Management, Engineering, Supply Chain Management, Accounting, or a related discipline.
Experience
- 3-7 years of experience in project administration, project coordination, business
operations, procurement administration, project controls, or similar roles.
- Experience supporting engineering, construction, automation, infrastructure, or
industrial projects is preferred.
- Experience with ERP systems, procurement processes, and project reporting
activities is desirable.
- Initial employment will be offered as a 2-year fixed-term contract. Conversion to
a permanent position may be considered based on individual performance and
business needs.
Technical Competencies
- Knowledge of project administration, procurement, order management,
invoicing, and project coordination processes.
- Familiarity with ERP systems (SAP preferred).
- Proficiency in Microsoft Excel, Word, PowerPoint, and MS Project.
- Understanding of project scheduling, material management, and reporting
processes
